Is this the best advice you will ever get?

Organise your Data…

for a good reason

The Problem

We are told how important it is to secure important data against loss… should you loose your Portable Computer or it's hard disk, on which so much data can nowadays be stored, fail. The trouble is that many users think that nothing will happen to their computer and, therefore, do NOT take adequate security steps to ensure against data loss. One reason is that they consider it takes too much time. Well… it does not have to… with a little advance thought.

The Solution

Firstly, consider organising ALL your data files in ONE folder, for example, called "My Computer". In other words when you save any data file… don’t just take the default drive offered by the application… save it into the folder called "My Computer".

Even better… create a folder for each application within the "My Computer" folder. When you go to save a file in an application save it to the folder you have created for it under the "My Computer" folder. For example, if you use MS Word, create a sub folder called "MS Word" within "My Computer". If you use MS Excel then create a different folder called "MS Excel" also within "My Computer". When you type a letter in MS Word save the file to the "MS Word" folder… when you create a spreadsheet in Excel, save that to the "MS Excel" folder in "MY Computer", and so on.

You can create as many folders and sub-folders as you want. Some might like to create several subfolders within their "MS Word" folder to better organise their data… for example, one called "Personal" for personal documents, one called "Office" for work documents, etc.

 

Folder Example:

"My Computer"
   - MS Word
         - Personal
         - Office

   - MS Excel
         - Personal
         - Office
               - Accounts
               - Pricing

   - Accounts

   - Graphics

   - Other

The Benefit

Not alone is the above good practice as it will help you locate data files more easily but it will also considerably simplify the process of making a security copy of important data. If you implement the above recommendation then ALL DATA is recorded in the "My Computer" folder.

... ONE COMMAND will copy that folder, all it’s sub folders and their files/data onto the backup device of your choice… IT IS AS SIMPLE AS THAT.

 

Protect your Media

The backup disk/tape(s) used should NEVER be stored with your compute. Leave it(them) somewhere safe… perhaps leave one set in your office… use a different set the next time (it does not take any more time… only a few extra pounds for the disk/tape) and leave that at your home. Then you are well secured.

 

The above procedure places you in a position to secure important data/files. It does not deal with application software. Normally such software is provided on a CD or other medium and you will have the master copy of this. Keep this in a safe place. With it there is NO NEED to copy your application software every time you do a security backup. This save a huge amount of time on each backup never mind considerably reducing the amount of storage required to backup your data files. You can re-install the application from your master CD or other medium whenever you have to. But do make sure you have at least one copy of the application software.

 

The Options

There are several different devices which can be used to take security copies of data on your Toshiba Portable computer.

Firstly you can use the floppy disk drive. However a floppy disk can only store 1.44 Mb of data. You can use multiple floppy disks though many would see this as taking too much time and frequently the root cause of their not being used. If you wish to backup 10 Mb of data this would require you to feed in 7 floppy disks in succession to complete the task. Floppy disks also have quite a slow data transfer speed.

In recent times CD-RW (CD with read/write) drives has become an increasingly popular way of securing data. These are available as internal or external devices on Toshiba Portable PC's.
